Your privacy matters to us

We collect the following information when you use Knox Knows:

• Account info — your name and email address when you sign up via Google, Microsoft, or email
• Usage data — question counts and balances needed to enforce plan limits
• Questions & chat history — the questions you submit to Knox and Knox's answers. Chat history is saved to your account until you delete it or ask us to remove your account. In Ask Knox and Learn, a smaller JPEG copy of each photo you send is saved privately with its message until you delete that conversation or request account deletion. A photo that cannot be saved is identified in the chat so you can retry. Original uploaded document files are not stored in Ask Knox chat history. PDF, Word and PowerPoint files are read in your browser, and only their extracted text is sent to Knox; the file name is saved with the chat
• Learn mode — Learn lessons are saved in your chat history like any other chat. For signed-in lessons, the latest photo or extracted document text you upload is also saved privately to your account so Knox can keep using it when you reopen the lesson. A new upload replaces the previously saved source. Deleting the conversation deletes its saved source too. Review memory can keep up to 12 short skill names and practice-focus notes when a skill needs another try, to suggest practice across lessons. Remove individual topics or turn off memory and clear the list in Learn's review panel. This separate review list is not removed by deleting a conversation. We also keep a small counter of how many messages a lesson has used, to apply your plan's lesson length. Video suggestions are plain links to YouTube; nothing is sent to YouTube unless you open one
• Flashcards — when you're signed in, your decks are saved to your account (and kept on your device too) so they follow you between devices; guests' decks stay only in their browser. You can delete a deck any time. When you ask Knox to make a deck, your request (and any notes, files or photos you add) is sent to Knox to write the cards
• Gifts & events — if you buy a gift code, we store the code, your email (to send it) and whether it has been used. Event progress, such as which days you studied during Flame Fest and the rewards you claimed, is saved to your account
• Billing info — handled entirely by Stripe. We only store your Stripe customer ID, not card details
• Device info — browser type and basic technical info for debugging
• Discord (optional) — if you use the Knox Knows bot in our Discord server, we receive your Discord user ID and the questions and replies you send it. If you connect your Discord with /link, we store your Discord user ID with your Knox Knows account so the bot can give you your Knox Plus perks
• Analytics — anonymized page views and interaction data via Google Analytics, used only to improve the product

We use your information only to provide and improve Knox Knows:

• To log you in and keep your account secure
• To enforce your daily question limits based on your plan
• To process your subscription payments via Stripe
• To send you important account-related emails (receipts, password resets)
• To improve Knox's answers and fix bugs

We do not use your questions to train AI models, sell your data, or send you marketing emails without your consent.

Knox Knows uses the following third-party services to operate. Each processes some of your data under their own privacy policies:

• Firebase (Google) — authentication and database storage. Privacy policy ↗

• Stripe — handles all payment processing. We never see or store your card details. Privacy policy ↗
• Vercel — hosts the Knox Knows platform. Privacy policy ↗
• Google Analytics — anonymized usage analytics. Privacy policy ↗
• Resend — sends transactional emails (welcome, billing, gift codes). Privacy policy ↗
• Wikimedia Commons — free, openly licensed pictures on flashcards load straight from Wikimedia's servers. Privacy policy ↗
• Discord — runs our community server and delivers the Knox Knows bot's messages. Messages you post there, including your questions to the bot, are also handled under Discord's policy. Privacy policy ↗
• Railway — hosts the Knox Knows Discord bot. Privacy policy ↗

Knox Knows uses cookies and browser local storage for the following purposes:

• Authentication — Firebase uses cookies to keep you signed in
• Usage tracking — we store your daily question count locally so the progress bar updates instantly
• Theme preference — we remember whether you prefer the light, dark or fall look
• Chat history — saved to your account so it follows you between devices. You can delete conversations in the app
• Analytics — we use Google Analytics to understand which features get used and where users get stuck. It sets a first-party cookie. We do not use this data for advertising

We do not use advertising cookies. Analytics only load if you choose Accept on our cookie notice; choose Decline (or turn on your browser's "Do Not Track" or Global Privacy Control setting) and they stay off.

We retain account and usage data needed to operate your plan while your account is active. Chat history remains available until you delete it or request account deletion. Some older browser-saved history may be removed automatically when you visit the site.

The Discord bot keeps only what it needs to run: how many questions each Discord user has asked today (reset every day), the current lesson so Knox can follow your replies (deleted once the lesson ends, at most 2 hours), and which members it gave the Knox Plus role. Its answers stay in the Discord channel where they were posted. A connected Discord ID stays with your Knox Knows account until you connect a different Discord, delete your account, or email us to disconnect it.

If you delete your account, we will delete your personal data from our systems within 30 days, except where we are required to retain it for legal or financial compliance (Stripe retains billing records as required by law).

You have the following rights regarding your personal data:

• Access — request a copy of the data we hold about you
• Deletion — request deletion of your account and associated data
• Correction — ask us to correct inaccurate data
• Portability — request your data in a machine-readable format

We take reasonable technical and organizational measures to protect your data. All data is transmitted over HTTPS. Authentication is handled by Firebase, which uses industry-standard security practices. Payment data is handled entirely by Stripe and never touches our servers.

No method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of Knox Knows after changes are posted means you accept the revised policy.

For significant changes, we will make reasonable efforts to notify you by email or by displaying a notice on the site.
